LOCAL BIZ HQ PRIVACY POLICY

How Local Biz HQ Handles Your Data.

Effective date: 28 September 2026

This Privacy Policy explains how Local Biz HQ, operated by Local Biz Sites, accesses, uses, stores and protects information used by the platform, including Google Workspace data connected through Google OAuth.

Local Biz HQ is a private internal business operations platform. Its Google integrations are designed around least-privilege access and owner-controlled use.

Privacy at a Glance

Local Biz HQ uses business information only to provide and operate its internal client, website, billing, growth and communication workflows.

When Google Workspace is connected, Local Biz HQ may synchronise authorised Gmail conversations and may send messages from that account only where the account owner has enabled and approved that workflow.

Google user data is not sold, used for advertising, or used to build advertising profiles.

Information Used by Local Biz HQ.

The exact information handled depends on which Local Biz HQ features are in use. The platform is designed to keep operational data structured while avoiding unnecessary access.

Account & Identity Data

Names, business contact details, account identifiers and authorised email identities used to operate Local Biz HQ and connect the correct business mailbox.

Gmail Conversation Data

When a mailbox is connected, HQ may access sender and recipient details, subject lines, plain-text message content, timestamps, thread/message identifiers, Gmail state information and attachment metadata.

Outbound Email Data

Local drafts, approved recipients, sender identity, subject, message body, send status and Gmail thread/message identifiers used to safely send and reconcile owner-approved email.

Lead, Client & Business Data

Lead and client records, contact details, notes, project information, follow-up state and related business records entered into or generated by Local Biz HQ.

Technical & Operational Data

System-health information, audit records, integration status, website monitoring results and limited diagnostic information required to keep the platform operating safely.

GOOGLE WORKSPACE DATA.

How Google Data Is Accessed and Used.

Google account access is granted through OAuth and remains tied to the specific account that authorised it. Local Biz HQ only requests the permissions needed for the features currently in use.

01

Connect & Authorise

You choose the Google Workspace account to connect and review the requested permissions on Google’s consent screen.

02

Synchronise Conversations

Authorised Gmail data is read into Local Biz HQ so business conversations can be organised, classified and linked to leads or clients.

03

Use Data for Business Workflows

Synced Google data is used only to provide Local Biz HQ features such as the Growth Inbox, conversation history, lead/client linking and follow-up workflows.

04

Send Owner-Approved Email

Where gmail.send is enabled, Local Biz HQ may send email from the authorised account only through the controlled outbound workflow and sender safeguards configured in HQ.

05

Disconnect or Revoke Access

You can disconnect a mailbox in Local Biz HQ or revoke the app’s Google access from your Google Account. Future Google access then stops until reauthorised.

Local Biz HQ’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

STORAGE, SHARING & CONTROL.

Your Data Stays Tied to the Purpose of the App.

Local Biz HQ is designed to keep business data within the systems needed to provide its internal features. Access is limited by application permissions and role controls.

Storage & Security

Synced Local Biz HQ records are stored in the app’s application data. Google OAuth credentials are handled by the connected platform integration and are not displayed as normal app data.

Sharing & Service Providers

Google user data is not sold or shared for advertising. Data may be processed by infrastructure and service providers only as required to operate Local Biz HQ and the connected Google integration.

Retention & Deletion

Disconnecting a mailbox stops future access but does not automatically erase previously synchronised Local Biz HQ records. You may request deletion of stored Google-derived data by contacting Local Biz Sites.

Your Choices

You can disconnect a mailbox, revoke Google OAuth access, request access or deletion of stored data, and choose whether owner-approved sending is enabled for a connected account.

Google data is not currently sent to AI providers.

At the current version described by this policy, Gmail content used by the Growth Inbox and outreach workflows is not sent to an AI or large-language-model provider. If Local Biz HQ later introduces a new use of Google user data, this policy and relevant in-product disclosures will be updated before that new use is enabled.

PRIVACY.

Privacy Questions

Clear answers about Google access, storage, sharing and the controls available to connected accounts.

What Gmail permissions does Local Biz HQ use?
The current Gmail integration is designed around gmail.readonly for synchronising authorised mailbox data and gmail.send for owner-approved sending. Broader Gmail modify, delete, archive or full-mail permissions are not required for the current workflow.
What Gmail information is stored in Local Biz HQ?
HQ may store business conversation details such as addresses, subject lines, plain-text message content, timestamps, thread/message identifiers, Gmail state information and attachment metadata needed for the Growth Inbox and related workflows.
Does Local Biz HQ store Gmail attachments?
The current Growth Inbox design stores attachment metadata only rather than downloading attachment file contents as part of normal mailbox synchronisation.
Is Google user data sold or used for advertising?
No. Google user data accessed through Local Biz HQ is used to provide the connected internal business features and is not sold, used for advertising or used to create advertising profiles.
Does Local Biz HQ share Gmail data with AI providers?
Not in the current version described by this policy. Gmail content is not currently sent to AI or large-language-model providers through the Growth Inbox or outreach workflows.
What happens when I disconnect a mailbox?
Future Google access and synchronisation stop for that connection. Previously synchronised HQ records are not automatically erased solely because the mailbox is disconnected.
How can I request deletion of stored Google-derived data?
Contact isaac@localbizsites.com.au and identify the connected mailbox or records concerned. Local Biz Sites will review the request and remove data that can be deleted consistently with operational, legal and security obligations.
How will changes to this policy be handled?
If Local Biz HQ materially changes how it accesses or uses Google user data, this policy and relevant disclosures will be updated before the new use is enabled, and renewed consent will be obtained where required.
